Release Notes

Heads Up: Things That Will Look Different

  • Without purchase order functionality, invoices no longer link to POs. If Enable Purchase Order functionality is off for your company, POs sent from your accounting system are no longer saved in Fidesic, and invoices no longer match to them by PO number. One client without POs had 14 pages of hidden POs that their invoices were matching to. Existing invoice headers keep their PO; a line's PO match is removed the next time its invoice is saved. If you do use POs, nothing changes.
  • GP PO invoices with tax now need a tax detail before approval. For Dynamics GP companies that sync tax details from GP and use invoice charges, a taxed PO invoice now shows "Pick a tax detail before approving." until every tax row has a GP tax detail, and auto approval holds it as Tax Detail Required. Previously the export sent the tax account's name in place of the tax detail, and GP refused to post the invoice.

Vendors

  • Every vendor now has a History tab. Vendor Detail lists each change to the vendor, newest first, with the date, who made it, and the old and new value. It covers the Details tab, addresses, bank accounts (last two digits only), account numbers, default GL codes and dimensions, and recurring purchase lines. Changes from your accounting system show as "Accounting system", and changes the vendor makes show as "Vendor". History starts from this release.
  • Vendor edits stay put. Vendor Class ID edits on the Details tab were never saved, and an accounting system sync that left out the contact name or Blocked status cleared the name and reset Blocked. Saving a vendor's default dimensions could also remove dimensions from unrelated invoice lines. All three are fixed.

Payments

  • Prenote new vendor bank accounts. A new setting, Prenote New Vendor Bank Accounts (Settings → Company → Preferences, under Onboarding), sends your bank a $0 prenote in the next ACH file whenever a vendor's checking or savings account is added or changed. ACH payments to that account wait until 3 banking days after the prenote goes out. The payment and the vendor's Bank Account tab show the hold, and if the bank returns the prenote you can mark it Returned, which holds payments until the account is corrected. Available to companies that pay by direct ACH; it is off until you turn it on.
  • The bank name shows next to every routing number. The bank name could disappear after retyping a digit, and did not show at all when editing an existing bank account. Both now look up the bank, and a mistyped routing number gets "This is not a valid routing number" right away. On phones the bank name moves under the field so the form fits the screen.

Captured Invoices (MagiCapture)

  • Choose locations that reverse the "Prefer calculated Location" setting. Under Prefer calculated Location over email setting on the MagiCapture page, you can now list locations that do the opposite of the company setting. An invoice emailed to one of those locations' addresses either uses the email's location first or calculates first, whichever the company setting does not. The list is empty unless you add to it.

Approvals

  • Morning approval digests go out on time. On several busy mornings the 9 AM approval digests could go out late. The cleanup step that held them up now finishes in about a second, and digests go out even if it fails.

Users & Single Sign-On

  • Accept an invite through single sign-on. When your company uses single sign-on, the invite email's signup page now offers Continue with single sign-on, including for people who already have a Fidesic login with another company. Where your company requires single sign-on, the password form is hidden on the invite.
  • Single sign-on fixes from a first Google Workspace setup. Sign-ins started from the Fidesic login page, and Test sign-in on the Single Sign-On page, failed with "The response answers a sign-in this browser didn't start". Sign-ins from Google's app launcher failed too, and an invite failed when the provider sent no first or last name. All are fixed. The setup instructions now list each provider's fields in its own order, mark fields to leave empty, remind you to turn Google's Service status on, and show the first and last name mapping as rows you can copy.

Your Fidesic Account

  • Your Fidesic invoices, on Account & Billing. An Invoices card on Settings → Account & Billing → Overview lists your Fidesic invoices as Paid, Part paid, Open or Overdue, with the balance due and the payments applied. Choose who receives them under Email invoices to, with an optional Copy, and download Fidesic's W-9 from the same card. The card appears once your account has an invoice.

Also Fixed

  • Payments Received export in the Account Center. This export failed every time and downloaded a file named Export.json instead of your payments. It downloads again.

Performance & Security

  • Tax codes follow your permissions. Adding, changing or deleting a tax code now requires company profile administration rights, and only ever touches your own company's codes.
  • Single sign-on invites are tied to the invited mailbox. Linking an existing login to your company through single sign-on needs the code from the invite email, so only the person who received the invite can accept it.

For Microsoft Dynamics GP Users

Tax details

  • GP tax details and tax schedules sync into Fidesic. With Sync Tax Details from GP on (GP Vendor Sync 2.6.0 or later), your GP purchase tax details and tax schedules appear on Tax Codes with a "Synced from GP" badge, a Description column and a Show inactive toggle. Each vendor's purchase address tax schedule shows on the vendor, and each PO's tax schedule shows on the PO. You can also pick a default tax detail for MagiCapture to fall back on.
  • Pick a tax detail on each tax row. PO invoices gain a Tax Detail column on tax rows that offers your synced, active GP tax details; picking one codes the row to that detail's account. A Tax total on the invoice spreads a new tax amount across the tax rows. The invoice page shows the tax GP calculated and posted, and flags it when that differs from the invoice.
  • MagiCapture picks the tax detail for you. On captured GP PO invoices, MagiCapture chooses the tax detail from the PO's and vendor's tax schedules, the tax rate, or your default, and checks it against the invoice's tax: Matched, Differs, Inferred, Default used or Not found. A pick that matches to the cent is locked; any other can be changed before approval.
  • Tax posts in GP the way GP calculates it. GP add-in 18.6.4 posts a PO receipt's tax through GP's own tax calculation and reports the result back to Fidesic. On Payables invoices, a tax row now sends only a real GP tax detail, and one that GP doesn't have fails the import with a message; a row with no detail posts to the vendor's tax account. Install add-in 18.6.4 to get this.

Purchase orders

  • GP PO charges sync to Fidesic. Freight, misc, tax and trade discount on a GP PO now reach Fidesic (GP Vendor Sync 2.6.0 or later), so invoice charges match against them. Open POs pick them up on the first run of the new version.
  • Extra GL coding on a PO invoice reaches GP. When a PO invoice carried a GL code for an amount the lines didn't cover, that amount was missing from the GP document. It now goes to GP as a misc charge, and the export preview labels each line with its PO and PO line.
  • Stuck PO updates go through. Some POs re-sent by the sync timed out on every try and never updated in Fidesic. They now save on the next sync.

GP Vendor Sync

  • GP Vendor Sync settings in one place. Settings → Company → Preferences has a new GP Vendor Sync panel that gathers Sync Chart of Accounts, Sync Tax Details from GP and a new Sync Purchase Orders switch. It shows which version of the sync you run, and greys out any setting your version doesn't support with "Needs GP Vendor Sync X or later".
  • Sync settings stay the same in GP Vendor Sync and Fidesic. GP Vendor Sync 2.8.0 keeps its chart of accounts, temporary vendor, excluded vendor class, local log file and purchase order settings in step with Fidesic, so a change made in the service's Options or in Fidesic reaches the other side. Sync Purchase Orders is also a new checkbox under Options → Advanced Settings.
  • The sync service uses far less of your server. GP Vendor Sync 2.7.1 fixes a memory leak and stops retrying a PO with a blank number every minute.
