Heads Up: Things That Will Look Different
- Invoices on a closed or canceled PO no longer approve automatically. An invoice billing a PO that your ERP closed or canceled, or that was canceled in Fidesic, now carries a new PO Closed exception. It is no longer a Full Match, so an existing rule that approves Full Match invoices stops approving it, with no change to your rules needed. You can also route these invoices with a new PO Closed condition in workflow. An invoice that names a PO canceled in Fidesic used to read PO Not Found and now reads PO Closed, so check any rule that relies on PO Not Found. Invoice history notes "PO closed in the ERP", "PO canceled in the ERP" or "PO reopened in the ERP", and closed or canceled POs no longer appear when you pick a PO for an invoice.
- The PO Number box on invoice entry now holds a list. On Enter/Adjust Invoice, the PO Number box shows each PO the invoice bills as a chip, with a count such as "3 POs" once there is more than one. Type several numbers separated by commas, or pick from the vendor's POs as you type. Removing a PO that has lines asks whether to remove those lines or keep them on the invoice off any PO.
- Import Lines from PO always starts on the PO list. It now opens on the vendor's POs instead of going straight into one PO's lines. A PO number you typed in the header is listed first, and POs already on the invoice are tagged "On invoice" with how many of their lines it bills.
- A price difference no longer shows as Matched. On the invoice page, a line whose price differs from its PO line used to read Matched when the quantity agreed. It now shows the price variance, in green when it is within your tolerance, red when billed over and yellow when billed under. The PO match label on each line also reads the PO number, such as "PO 0393832", instead of the PO line number; hover over it to see the PO, line and item.
- GP PO invoices are checked against the PO before they import. With version 18.6.5 of the Fidesic add-in for GP, an invoice fails import with a plain message, such as "PO 1003 line 16384 is Closed.", when a PO line is closed or canceled, the PO is on hold, the invoice bills more than is left to receive or match, or the PO still needs approval in GP. Before, these could import and need fixing in GP. Details are in the GP section below.
Invoice Entry & Coding
- Work with several POs on one invoice. When an invoice bills more than one PO, each line now shows its PO in a PO column, where you can move the line to another of the invoice's POs or to No PO. In Import Lines from PO you can tick lines on several POs in one pass; the footer counts them ("5 lines from 2 POs") and one Import brings them all in. On the invoice page, a line not yet paired reads "PO 1234 · Unmatched" or "No PO · Unmatched". Learn more
Captured Invoices (MagiCapture)
- POs printed under another label are found. Many vendors print your PO as "Customer Order #", "Your Ref", "Job #" or with no label at all. With Match PO Numbers Flexibly on, MagiCapture now checks those numbers against the vendor's POs and links the one that matches, with a note such as "PO 35301 found under 'Your Ref'". When two or more could be the PO, it links neither and warns "Multiple possible POs", so you choose.
- Lines pair by quantity and unit cost. An invoice line with no item number that matches the PO now pairs with the one line on its PO that has the same quantity and unit cost. If two PO lines are alike, or the cost is a cent off, it pairs neither, so it never guesses.
Purchase Orders
- Allow small price differences on PO invoices. Under Settings, Company, Preferences, Purchase Orders, PO match tolerances lets an invoice line's price be off from its PO by up to an amount, a percentage of the line, or both, before it is flagged as Price Variance. You can also set an invoice cap on total variance, and decide separately how to treat lines billed below the PO price. A tolerance doesn't approve anything on its own; it lets your Full Match rule fire. After you save a change, Fidesic offers to rerun workflow on your unapproved invoices. Invoice history lists which tolerance let a line through or flagged it. Nothing changes unless you set a tolerance. Learn more
- Give a vendor its own PO match tolerances. A new PO Match Tolerances section on the vendor page, which is now also where Freight Expected on PO lives, lets each vendor use the company setting or its own value for price variance, under-billing, the invoice cap, and freight, misc and tax not on PO. A vendor sync from your accounting system won't overwrite them. Learn more
Payments
- A payment switched from ACH to check gets the vendor's address. Switching an ACH payment to a check, with Change Payment to Check or by sending it again from GP as a check, left it with no mailing address, so it could never be approved or printed, and picking an address failed with "Vendor does not exist for this user". The check now takes the vendor's address, the page shows the right buttons straight away, and a check already stuck this way can be fixed by picking an address.
- ACH files go out on time for every company. On November 4 an unusually large ACH run was stopped before it finished, which held back payments for companies scheduled after it. Each run now has time to finish, and a setup problem at one bank partner no longer stops the next attempt.
Audit Log
- See who saved an invoice without resetting approvals. The audit log now records Invoice Saved Without Reset each time an invoice is changed without resetting its approvals, including changes made through the API. The Adjust Without Reset permission is now checked before the change is saved; before, a user without it could have the change saved and then see an error.
- Export the audit log to Excel. A new Export to Excel button downloads the audit log with the same filters you have applied. Several event types that read "Unknown" now show their names. Learn more
Your Fidesic Account
- Account owners can see Account & Billing. An account owner now sees Overview, Usage and Plan & Pricing under Account & Billing without needing the View Account & Billing permission. Learn more
- Send your Fidesic invoices to your MagiCapture inbox. The Invoices card shows your Fidesic inbox address with a Use it link, so Fidesic's invoices to you go straight into your own invoice queue. If your inbox address changes, the saved address updates with it.
- Every Fidesic invoice has an invoice number. Some invoices for October went out with no invoice number on the PDF. Every invoice is now numbered, and one without a number isn't emailed. Invoices come from "Enliven Software LLC dba Fidesic", which MagiCapture matches to your vendor record under either name. Scheduled price changes now show at the top of the billing page, and charges for a company billed through another now appear on the main company's bill.
Also Fixed
- Invoice Lifecycle report loads again. The report could time out instead of returning results. It now loads in under a second.
- Saving a vendor no longer shows "temporary glitch". Two saves of the same vendor at once could fail with a temporary glitch message. The second save now waits its turn.
Performance & Security
- Vendor addresses stay with your company. Looking up a vendor's addresses now only returns your own vendors' addresses, and a check's mailing address can only be changed to one of its own vendor's addresses while the check is unapproved and unprinted.
- Security updates to the web app. The app's underlying framework and its text editor received security updates. Nothing changes in how they work.
For Microsoft Dynamics GP Users
Fidesic add-in for GP 18.6.5
- Each invoice line imports against its own PO. Version 18.6.5 builds the Purchasing document line by line from each line's PO and PO line, so an invoice that bills several POs imports into GP in one document. It picks the document type for you: Purchasing Invoice (Enter/Match) when every PO line has a posted shipment to match, and Shipment/Invoice when none does. Lines priced differently from the PO are listed in the receipt's note in GP, such as "PO 1001 line 16384: invoice $5.25, PO $5.00", and GP posts the difference as a purchase price variance. Learn more
- Tell Fidesic your warehouse receives in GP. A new Receiving Happens in GP switch under Settings, Company, Preferences, Purchase Orders makes GP import match each PO invoice to its posted receipt and fail one whose goods aren't received yet, instead of receiving them itself. It needs add-in 18.6.5 or later; an older add-in ignores it.
GP Vendor Sync
- Closed and canceled POs and canceled quantities reach Fidesic. With GP Vendor Sync 2.10.0, a PO you close or cancel in GP is closed or canceled in Fidesic, and canceled quantity no longer counts as open. Reopening a PO in GP reopens it in Fidesic. Every PO already synced is sent once on the first run, so nothing needs editing in GP.
- PO line accounts and shipping method sync, and line edits re-send the PO. GP Vendor Sync 2.9.0 sends each PO line's inventory account and whether the PO is Pickup or Delivery. Editing just a line in GP now re-sends the PO, which it didn't before. Freight posted to the same account as an item line no longer bills that item line.
- Tax details are picked the way GP calculates them. On captured PO invoices, MagiCapture now follows GP's rules for Base on vendor lines and Delivery POs when it picks the tax detail, using the vendor's or site's tax schedule instead of only the PO's. When some lines have no purchase tax schedule in GP, the tax note says how much of the invoice is expected to carry tax. A tax detail that matches the invoice's tax no longer holds back AI approval.
For QuickBooks Desktop Users
- Checks send without "Payee is required". Version 1.1.7 of the QuickBooks Desktop connector fixes checks failing to send to Fidesic with "Payee is required". If a check's attachment can't be uploaded, the check still sends and is marked printed in QuickBooks, with a message to add the attachment in Fidesic.
- Picking a company at sign-in no longer crashes. Users with several companies could see the connector close when they chose a company. Fixed in version 1.1.6.
