Enliven Software is proud to welcome Spectrum Clubs, a California-based fitness center provider, as our newest Fidesic AP client. Spectrum is a quickly growing business that was outgrowing its paper-based AP process. As a result of multiple locations and many monthly bills, it was becoming increasingly clear that a change needed to be made.

Spectrum's case was similar to that of many small businesses around the country: Multiple locations trying to get AP approvals to the correct person was taking up company time and money. Most companies address this problem with one of two solutions. The first is to ship paper documents for physical approval by their location managers. The second is to turn these paper documents into PDFs and attempt to manage an electronic approval process independently. Spectrum chose to take on this problem from a holistic perspective ugh Fidesic ePayables for Dynamics GP.

The first step in this process was setting up their new AP workflow. Spectrum's workflow is heavily location-based, and needed to be customized for each specific manager. This was handled quickly and easily by the ePayables workflow. Location managers now receive email approval notifications for every document received in their queue, and have an easy to use portal to manage their approval process.

Aside from workflow management and improved visibility, Spectrum now has a greatly reduced role in data entry. Fidesic's OCR process is able to capture all major invoice data points automatically. This means from Spectrum's point of view that all they need to do is scan and submit invoices. From there, those documents are directly loaded into their workflow.

So what does this mean for Spectrum's business? First off, they are now able to focus on business development without having to worry about leaving their AP department behind. Secondly—and more importantly—they now have a process in place that is actually cheaper than their previous one, which was labor-intensive. Based on volume estimates and increased efficiency, Spectrum stands to save 54% in their very first year.
